True Living LLC, a growing construction company in Charlottesville, VA, is looking for a skilled and detail-oriented Administrative Assistant to manage essential office tasks and support our team. This is an in-office position with no remote work option, starting part-time (20 hours/week) with the potential to become full-time.

Key Responsibilities:

  • Administrative Tasks: Scanning and organizing vendor bills and company receipts, maintaining filing systems (both digital and physical) marketing and website support, HR support.
  • Errand Running: Handling errands such as building permits, VDOT permitting tasks, Office Stock and supply pick-ups, tasks required for company management.
  • Bookkeeping Support: Assisting the bookkeeping, by gathering and organizing receipts, invoices, and other relevant financial documents.
  • Document Preparation: Creating and maintaining spreadsheets, reports, and documents in Mac Pages and Numbers
  • Vendor Coordination: Communicating with vendors, subcontractors, and other team members as needed
  • Meeting Deadlines: Prioritizing tasks and projects to meet critical deadlines and ensure smooth operations
  • CRM Customer Management: Work with the sales team to manage the CRM and respond to clients.


Qualifications:

  • Experience: 7-10 years of administrative experience, preferably within the construction industry
  • Mac Proficiency: Strong proficiency with Mac OS, including Pages, Numbers, and other office software
  • Organizational Skills: Exceptional organizational abilities with a keen attention to detail
  • Punctuality: Must be reliable, with a strong commitment to meeting deadlines and showing up on time
  • Strong Communication: Excellent verbal and written communication skills
  • Problem-Solving Skills: Ability to troubleshoot and resolve issues independently
  • JobTread Experience: Knowledge of JobTread or similar construction management software is a plus but not required
  • Time Management: Ability to manage multiple tasks simultaneously in a fast-paced environment
  • Driver's License: Valid driver's license and willingness to run errands as needed


Compensation:

  • In-office position
  • Schedule: starting part-time (20 hours/week) with the potential to become full-time.
  • Hourly Rate: $20-30 per hour, based on experience and qualifications
